Introduction
This policy covers the Communication for Nerds website, newsletter, and Communication Trainer. It explains what information these services use, which providers process it, and how to access or delete your Trainer data. You can reach us through our Contact page about privacy questions or requests.
Information We Collect
We may collect the following types of information:
- Newsletter and contact details — your email address when you subscribe, and the name, email, subject, and message you submit through our contact form.
- Trainer account — your account identifier, email address, display name if provided, account creation date, and authentication information handled by Firebase. Google sign-in shares the account information needed to sign you in.
- Training history — coach and roleplay conversations, generated replies and feedback, conversation titles and scenarios, challenge completions, streaks, levels, usage counts, and reminder preferences.
- Subscription information — subscription status and customer and subscription identifiers from Polar. Payment details are entered on Polar's hosted checkout; our application does not store your full card number.
- Usage data — pages visited, time spent on pages, referring URLs, and similar analytics data
- Device information — browser type, operating system, and screen resolution
- Technical data — request information such as IP addresses and error details used by the site and its hosting and authentication providers to deliver the service and limit abuse.
Conversations contain whatever you choose to share. Avoid including passwords, payment details, or unnecessary private information about yourself or other people.
How We Use Your Information
- To send you our newsletter (only if you subscribe)
- To authenticate your account, maintain your session, and recover access when you request a password reset
- To generate coaching replies and roleplay feedback, save your conversations, and record your training progress
- To manage subscriptions, check access, and enforce usage limits
- To send daily challenge reminders to subscribed members while reminders are enabled; each reminder includes an unsubscribe link
- To understand how visitors use our site and improve our content
- To maintain and optimize website performance
- To respond to inquiries or feedback you send us
AI Coaching and Stored Conversations
When you use the coach or roleplay features, we send your message and relevant conversation history or roleplay transcript to OpenAI's API to generate a response. We also send a pseudonymous safety identifier derived from your account identifier. Your messages and the resulting replies and feedback are stored with your Trainer account in Firebase so you can revisit them.
OpenAI processes API content under its business service terms and data controls. Provider-side processing and retention are separate from the conversation history saved in your account. See OpenAI's business data information for its policies.
Cookies and Analytics
The Trainer uses an essential session cookie called __session, with a lifetime of up to 14 days, to keep you signed in. Firebase also handles browser authentication state during sign-in and password recovery.
On our production website, Google Analytics measures visits and successful newsletter submissions, new account sign-ups, and confirmed trial or subscription activations. The custom conversion events do not include your email, account identifier, subscription identifier, or conversation content. Analytics may use browser identifiers and cookies. A local browser record prevents the same subscription activation from being counted again on refresh; this record is not sent to Google Analytics.
You can manage cookies and clear local storage in your browser settings. Blocking essential authentication storage can prevent sign-in. Blocking analytics does not prevent you from using the Trainer.
Third-Party Services
- Google Firebase — authentication, password-reset emails, and storage of account and training data.
- OpenAI — processing messages and conversation context to provide AI coaching and feedback.
- Polar — hosted checkout, billing, and subscription management. We share your account identifier and email to connect your purchase to your account.
- Resend — delivery of daily challenge reminder emails.
- Formspark — processing newsletter subscriptions and contact-form submissions.
- Google Analytics — site usage and conversion measurement.
- Netlify — website hosting and delivery.
These providers may process information in countries outside your country of residence. Their applicable terms and privacy information describe their processing locations, safeguards, and retention practices.
Data Retention
Trainer account and training history are retained while your account exists so the service can maintain your conversations and progress. Deleting your account removes the Firebase sign-in account and its stored profile, conversations, and challenge history. Active subscriptions are canceled as part of deletion. This does not automatically erase records held separately by providers, such as billing records Polar must retain or provider security logs and backups.
Newsletter subscriptions and contact submissions are separate from Trainer accounts. To stop newsletter messages or request removal of a submission, contact us. Daily Trainer reminders can be disabled through the unsubscribe link in each reminder.
Exporting and Deleting Your Trainer Data
Sign in and open your dashboard. Under "Your data," choose "Download my data (JSON)" to export your saved profile, conversations, and challenge history. Choose "Delete my account" to cancel your active subscription and permanently delete the Trainer account and its saved data after confirmation.
If automatic subscription cancellation fails, deletion stops and the dashboard explains how to cancel through "Manage subscription" before trying again. Contact us if you cannot access your account or need help with a privacy request.
Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- The right to access the data we hold about you
- The right to request correction of inaccurate data
- The right to request deletion of your data
- The right to withdraw consent at any time
- The right to lodge a complaint with a supervisory authority
